Chapter 8: Appraising and Improving Performance

Exercise 8-1

This exercise will take at least 2 days to complete.

Step One - Registering
The first step is to register with http://www.performancereview.com/ .
Click on “Take a free test drive” at the top of the screen.

Now click on “Let’s Go”. The next screen sets up an account for you. Complete this form. Within 24 hours you will receive an email with your user name and password.

Step Two – The Test Drive
Go back to the Performance Review web site and complete the “Test drive” performance evaluation for Suzie.

Suzie’s supervisor’s observations and comments about her performance follow. Use this information to select the appropriate ratings for Suzie’s evaluation.
Once you have completed the evaluation, print a copy of the final version and bring it to class.

  1. Select a Review Form
    Look at the competencies lists for the clerical job.
    Do the competencies listed for Clerical seem appropriate to you? Why? Why not? Would you add any to the list?
  2. Enter Review Information
    You will be conducting a performance review for Susan Q. Testdriver.
    The review period starts October 1st of last year and finishes September 30 of this year.
    You are the reviewer
  3. Select the Rating Language
    Select the language you would like to use for the evaluation form
    What were some of the choices that you looked at? Why did you choose this language?
  4. Completing the Rating
    Read the descriptions of Suzie’s performance (below) and the examples that have been collected over the past 12 months. Then look at the choices of rating language and choose the ratings that best reflect her performance for each of the 3 competencies.

    Job Knowledge

  • Suzie’s been in this job for 1.5 years and she seems to clearly understand what her job is about.
  • She excels in both keeping abreast of changes and applying them to her job
  • She clearly understands when her job ends and another job starts, and consistently refers customers to the appropriate person to deal with their questions or concerns.
  • She needs a lot of supervision – Suzie can get off-track easily and spend her time on non-productive activities if she isn’t watched. For example, in December she got involved in organizing the end of the year party. We agreed she could spend 10 hours on this project and we agreed to the basic elements of the party. Well, she put in about twice the time and had plans for a party at twice the budget. It took me a lot of time to “talk her down” to an appropriate plan, and then she had to re-work a lot of the plans. I’ve also seen the same kind of thing happening on other tasks – basically, if I don’t watch her carefully she gets involved in non-productive activities.
  • Other than her time, she uses resources effectively

    Dependability

  • Suzie is well meaning, but she’s not always dependable.
  • I gave her a verbal warning (July, 2002) about her attendance and punctuality. There has been some improvement, but it’s still an area of concern.
  • During the discussion, she had a million different reasons for not keeping all her commitments – everything from her dog eating the paperwork, to the computer system crashing and her having to start the project all over again
  • She responds well to requests for service and always comes to me to discuss instructions or directions when she is starting a new task

    Innovation

  • If you say anything about Suzie, you have to admit she’s creative!
  • However, some of her ideas are right out there! Like the other month when she suggested all customer requests for product specifications should be sent on “happy face” paper so our customers think we are a happy company that’s fun to deal with – we’re selling hardware – bolts, nuts and such, I don’t think being seen as the “happy hardware supplier” will help business.
  • Suzie consistently meets challenges in her job with resourcefulness
  • We just need to coach and guide her into using her creatively in a more appropriate manner. We love her creatively, and we want her to stay positive in this area, we just need to help her to “tone things down” a bit
  1. Define and Rate Goals
    Choose one goal for Suzie that will improve her performance over the next 12 months. Complete this section with the specific information she will need to understand and meet the goal.
  2. Plans for Improvement
    Click on the statements that reflect the goal you stated above.
  3. Print the Performance Appraisal


Exercise 8-2

Go to http://www.google.ca and find three software programs that assist with employee performance evaluations.

  1. Identify the different features of each program.
  2. What are the benefits listed for each program?
  3. What other information do you need to review the programs?
  4. Which program would you recommend at this time and why?
